All cakes made by The Iced Vegan are subject to the following terms and conditions.
Ingredients
We always strive to use the best quality and, where possible, organic ingredients and the most suitable mediums for any decorations produced. All our cakes are suitable for vegans and all our flavours can be made using gluten* free ingredients if required. Some flavours like Tiramisu do contain a small amount of alcohol unless otherwise requested. All cakes are made where, at times, other allergens are used and baked in the same oven, although not at the same time. Every effort is taken to keep ingredients separate, however cakes may contain traces, so cannot be guaranteed suitable for severe allergy sufferers. Other dietary requirements may be accommodated. Please discuss these at the time of ordering and every future time of ordering, if applicable. *Please see our allergy advise for further details.
For quality control, core samples are taken for each cake to ensure an even and complete bake has been achieved.
Orders
We usually take wedding cake orders up to 2½ years in advance and only once your venue is booked. This can apply even if you’re not sure of the design. These bookings will be subject to the availability of the date required. Any cake ordered from a picture or photo of a cake produced by any other cake maker, can only be reproduced by The Iced Vegan as our interpretation of that cake and will not be an exact reproduction. Design or location changes after an order has been placed may incur an additional fee.
Payments
We require a minimum reservation fee of £50 to secure your future date in our diary. Once we have discussed your cake in more detail, a full reservation fee of 50% of your total order will be due. These fees are deducted from the final balance payable. Reservation fees are non-refundable, but may be transferrable if agreed in advance and a future date is available. If for any reason beyond my control, I have to cancel your order, please be assured I would refund 100% of all fees paid and will do my utmost to find you a replacement baker. In the case of a pandemic, all monies paid will be transferred to a future date. Your date is not secured without these payments.
Final balance payments
The final balance of your order is due no later than 1 month prior to your date.
Delivery
All wedding cakes are delivered and set-up by The Iced Vegan at a mutually agreed time. Any arrangements for delivery may be subject to change, however prior notice will be given where possible. The venue will be advised of your chosen flavours, portion size, cutting guides and allergy advice. Once delivered, it is the venues’ responsibility to keep the cake safe and away from direct sun or heat source to avoid any issues. Smaller cakes and desserts may be collected from our premises only at a pre-arranged time and date. To avoid arriving when we are out on a delivery, please adhere to pre-arranged times.
Storage
Sponge cakes are made to be eaten on the day of the celebration. Keeping them for longer than 3 days before consumption may affect the freshness and quality of the cake. This applies especially to gluten* free cakes. If there are circumstances that may occur to cause a delay in the cake being eaten, please contact The Iced Vegan for advice on appropriate storage. Collected cakes mainly do not require to be refrigerated and as such, should be stored in a cool dry place, preferably in the box they were supplied in. Refrigeration may cause drying out. You will receive advice when you pick up the items.
Cancellation
Reservation fees are non-refundable. Final balances are also non-refundable if cancellation is within 1 month of the wedding date. Both parties must confirm cancellations.
In the unlikely event of an issue
We photograph all cakes delivered to venues from different angles to show their quality after delivery. We do not accept any responsibility for loss or damage to the cake or items with the cake such as knives, decorations and stands, once the cake has been delivered to a venue or collected from our premises, or for loss, damage or non-delivery due to unavoidable or exceptional circumstances. Refunds will never be given for any cake which has been consumed regardless of dispute. Consumption of the cake is viewed as your acceptance that the cake is adequate for the purpose for which it has been supplied. Any refund would only be considered with the return of at least 90% of the cake and only on completion of our investigations as we make every effort to ensure this doesn’t occur. This in no way affects your statutory rights.
Return of hired equipment
All equipment hired requires a deposit. You must return all equipment within five days of the wedding date, unless you have made alternate arrangements in writing beforehand. If not, extra charges may be levied to cover hire costs. Any damages to equipment will incur a reduction of deposit returned. This is to cover the costs of repair or replacement.
Photographs
We reserve the right to use any photographs we take of our cakes on our social media pages and website as needed. You are free to share them too, but please do tag us! We also love, love, love to receive professional photos of our cakes, pictures of you cutting your cake and any of you and your guests enjoying it too. Please let us know your photographer’s name so we can credit them. If there are any that you don’t wish to use in future promotions, please let us know.

When you provide information to us, it will either be emailed directly or alternatively, stored on a secure server. We use a trusted third-party website and hosting provider to manage the website. Most importantly, this provider meets high data protection and security standards. Also, they are bound to keep any information they process on our behalf, confidential by contract. Any data that is collected is kept securely and equally important, it is only processed in the manner we instruct them to. We would like to confirm that we do not rent, sell or share personal information about you with other people or non-affiliated companies. Additionally, we use all reasonable efforts to ensure that your personal data is not disclosed to regional or national institutions and authorities. The law may, however, require us to disclose it.
Security and debugging
We would like to point out that, unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your personal data, ultimately, we cannot guarantee it’s security when being transmitted to our website. Any transmission is at your own risk. Once we have received your information, again, we use strict security procedures to try to prevent unauthorised access.
