Consultations

Some of my greatest creations come from us working together as a team. Ideally this would be during a relaxed face-to-face consultation. I’m also realistic and know that due to many time constraints and distance, this is not always an option for couples. This is where technology is a great solution. With choices such as Zoom meetings, emails and direct messaging, we have other options. In these cases, I also offer postal taster boxes where you can you can choose 3 flavours to try in the comfort of your own home, so no one misses out!

During the consultation process, we will discuss your initial ideas and look at inspirational photos whilst you enjoy trying some cake at the same time.  We will talk budget, portion sizes, flavours and any personal elements that you may want to incorporate. I will give you my honest opinion and add my creative input.

Some couples come to consultations with set ideas.  I love taking those ideas and enhancing them to create something unique which, at the start, nobody even knew was possible.

We will also discuss options for displaying your wedding cake to set it off to its full potential. We can chat about other subjects such as colour schemes, delivery, set up times and any allergy requirements too.

This process can be one of the most enjoyable and relaxing parts of your wedding planning, so just sit back and enjoy.

All postal taster boxes are baked fresh to order and posted on a next day delivery service, therefore, I do need to book these into my diary. These are £20 for 3 flavour choices from my guide and you’ll receive two slices of each flavour. If you have already secured your date in advance for £50, I will send the tasters free of charge.

Cutting Guide

 

I want to make sure that each of your guests can enjoy a slice of your delicious vegan wedding cake. I will leave instructions with the staff at your venue to explain the best way to cut your cake, but here is some guidance in case you are cutting your own:

    1. Start by taking off all the inedible decorations or ones you wish to keep
    2. Carefully take apart each cake tier and remove the internal dowels that supported each of these tiers
    3. Mark off each side of your cake in 1″ increments to make sure each slice is cut equally.  This ensures your guests all receive the same portion size and no one is left out
    4. Cut each slice vertically in either 1″ or 2″ wide pieces.  These portion options would have been discussed and advised during your initial consultation with me
    5. Start by cutting the largest tier first, wiping your knife in between slices to ensure each piece is cut evenly.  It might be nice to save and freeze a couple of slices to enjoy once you have received your photos back so you can reminisce about your special day once more

Terms and Conditions

All cakes made by The Iced Vegan are subject to the following terms and conditions.

Ingredients

We always strive to use the best quality and, where possible, organic ingredients and the most suitable mediums for any decorations produced.  All our cakes are suitable for vegans and all our flavours can be made using gluten* free ingredients if required. Some flavours like Tiramisu do contain a small amount of alcohol unless otherwise requested.  All cakes are made where, at times, other allergens are used and baked in the same oven, although not at the same time.  Every effort is taken to keep ingredients separate, however cakes may contain traces, so cannot be guaranteed suitable for severe allergy sufferers. Other dietary requirements may be accommodated.  Please discuss these at the time of ordering and every future time of ordering, if applicable. *Please see our allergy advise for further details.

For quality control, core samples are taken for each cake to ensure an even and complete bake has been achieved.

Orders

We usually take wedding cake orders up to 2½ years in advance and only once your venue is booked.  This can apply even if you’re not sure of the design.  These bookings will be subject to the availability of the date required. Any cake ordered from a picture or photo of a cake produced by any other cake maker, can only be reproduced by The Iced Vegan as our interpretation of that cake and will not be an exact reproduction. Design or location changes after an order has been placed may incur an additional fee.

Payments

We require a minimum reservation fee of £50 to secure your future date in our diary. Once we have discussed your cake in more detail, a full reservation fee of 50% of your total order will be due.  These fees are deducted from the final balance payable.   Reservation fees are non-refundable, but may be transferrable if agreed in advance and a future date is available.  If for any reason beyond my control, I have to cancel your order, please be assured I would refund 100% of all fees paid and will do my utmost to find you a replacement baker. In the case of a pandemic, all monies paid will be transferred to a future date. Your date is not secured without these payments.

Final balance payments 

The final balance of your order is due no later than 1 month prior to your date.

Delivery

All wedding cakes are delivered and set-up by The Iced Vegan at a mutually agreed time.  Any arrangements for delivery may be subject to change, however prior notice will be given where possible. The venue will be advised of your chosen flavours, portion size, cutting guides and allergy advice.  Once delivered, it is the venues’ responsibility to keep the cake safe and away from direct sun or heat source to avoid any issues. Smaller cakes and desserts may be collected from our premises only at a pre-arranged time and date. To avoid arriving when we are out on a delivery, please adhere to pre-arranged times.

Storage

Sponge cakes are made to be eaten on the day of the celebration. Keeping them for longer than 3 days before consumption may affect the freshness and quality of the cake.  This applies especially to gluten* free cakes. If there are circumstances that may occur to cause a delay in the cake being eaten, please contact The Iced Vegan for advice on appropriate storage. Collected cakes mainly do not require to be refrigerated and as such, should be stored in a cool dry place, preferably in the box they were supplied in.  Refrigeration may cause drying out. You will receive advice when you pick up the items.

Cancellation

Reservation fees are non-refundable. Final balances are also non-refundable if cancellation is within 1 month of the wedding date.  Both parties must confirm cancellations.

In the unlikely event of an issue

We photograph all cakes delivered to venues from different angles to show their quality after delivery.  We do not accept any responsibility for loss or damage to the cake or items with the cake such as knives, decorations and stands, once the cake has been delivered to a venue or collected from our premises, or for loss, damage or non-delivery due to unavoidable or exceptional circumstances. Refunds will never be given for any cake which has been consumed regardless of dispute.  Consumption of the cake is viewed as your acceptance that the cake is adequate for the purpose for which it has been supplied.  Any refund would only be considered with the return of at least 90% of the cake and only on completion of our investigations as we make every effort to ensure this doesn’t occur. This in no way affects your statutory rights.

Return of hired equipment

All equipment hired requires a deposit.  You must return all equipment within five days of the wedding date, unless you have made alternate arrangements in writing beforehand. If not, extra charges may be levied to cover hire costs.  Any damages to equipment will incur a reduction of deposit returned.  This is to cover the costs of repair or replacement.

Photographs

We reserve the right to use any photographs we take of our cakes on our social media pages and website as needed.   You are free to share them too, but please do tag us! We also love, love, love to receive professional photos of our cakes, pictures of you cutting your cake and any of you and your guests enjoying it too.  Please let us know your photographer’s name so we can credit them. If there are any that you don’t wish to use in future promotions, please let us know.

The difference between animal-free and free-from

Products suitable for vegans may not be suitable for people with food allergies. The same applies to products that are gluten, soya and/or nut-free.

Vegans avoid exploitation of animals, whereas people with allergies need products that do not contain the allergens that affect them. These are separate issues.

The Vegan Society’s viewpoint

There is no legal definition for the term vegan, and The Vegan Society itself agrees that foods labelled as vegan can also carry a ‘may contain’ warning about animal allergens. The risk of cross-contamination can include the allergen simply being in the same facility as the product, even if the areas for preparation or cooking are separate. As more and more foods are produced without animal ingredients, the number of vegan production lines and factories will increase and therefore in time the ‘may contain’ warning could be removed.

A word about cross-contamination 

There are so many factors when it comes to cross-contamination. These include the method of transportation, storage of goods in warehouses, food handling, packaging, and manufacturing processes.

The Iced Vegan errs on the side of caution when it comes to allergens. Even though Trudy herself is vegan and has a strict cleaning schedule, she cannot fully guarantee no cross-contamination, particularly for severe allergy sufferers. Her cakes are however suitable for food intolerances when advised accordingly.
